We’re now hiring our Executive Operations & Events Manager - someone who can manage external conferences and large-scale customer-facing events, working independently in a fast-moving startup environment.
What Makes This Role Different
You'll report directly to the CEO and play a central role in building operational structure while leading the execution of all external events and conferences. This individual will ensure customer-facing events are executed at a professional, high-impact level while also overseeing internal operations infrastructure and company-wide coordination.
In addition to supporting the CEO, this role will provide operational support to the CRO and GTM team, particularly related to conferences, customer events, and travel logistics.
This role is suited for a highly organized operator who thrives in a fast-paced startup environment and takes pride in building structured, repeatable systems.
What You'll Do
1. External Conferences & Customer-Facing Events (Primary Focus)
Manage conference registrations, sponsorship logistics, and vendor coordination
Oversee booth logistics, shipping, materials production, and on-site execution
Coordinate executive dinners, restaurant reservations, and customer-hosted events
Manage travel arrangements for the CEO, CRO, and GTM team
Maintain and manage the master event calendar
Track event budgets and vendor payments
Build and maintain repeatable conference execution playbooks
Coordinate pre-event logistics and post-event operational follow-through
Ensure brand consistency and professional execution at all external engagements
Goal: Every external event strengthens brand presence, credibility, and growth momentum.
2. Internal Events & Offsites
Plan and execute company offsites and leadership sessions
Coordinate venue sourcing and vendor management
Manage travel and accommodations
Develop run-of-show documents and execution timelines
Track and manage internal event budgets
Coordinate swag and branded materials
Document internal event playbooks and best practices
Goal: Internal events are organized, intentional, and well executed.
3. Internal Operations & Virtual Office Management
Maintain company org chart and employee directory
Manage subscription tracking and renewal calendar
Track vendor contracts and renewal deadlines
Maintain centralized documentation repository
Develop and maintain onboarding process documentation
Create and update standard operating procedures
Coordinate temporary workspace logistics when needed
Goal: The company operates with structure and operational discipline.
4. Vendor & Financial Operations
Source and manage vendor relationships
Track contracts, renewals, and service agreements
Coordinate invoice processing and expense tracking
Manage event budgets and operational expenses
Monitor subscription costs and vendor performance
5. People Operations & Onboarding Coordination
Prepare and distribute employment letters
Coordinate I-9 verification and employment documentation
Manage background check coordination
Order and ship laptops and equipment
Coordinate system access and account setup
Support insurance enrollment communication
Maintain onboarding checklists and documentation
Goal: New hires experience a smooth and structured onboarding process.
6. Executive & GTM Support
Manage CEO calendar and scheduling
Coordinate executive travel
Support meeting logistics
Assist with expense coordination
Provide logistics support to CRO and GTM team for customer-facing activities
What You Bring
5–8 years of experience in executive operations, event management, or startup operations
Strong experience managing external conferences or large-scale customer-facing events
Experience supporting senior executives in a high-growth environment
Proven ability to manage multiple vendors and budgets
Strong organizational and project management skills
High level of discretion and professionalism
Comfortable working independently in a fast-moving remote environment
Proficiency with modern SaaS tools and collaboration platforms
